What documentation do I need to open a wholesale account?

Nina Designs requires two forms of documentation to set up a wholesale account. The first document verifies you are conducting business within the jewelry trade and have registered with your state. The second document certifies that you are exempt from paying sales tax on your wholesale purchases. Wholesale customers must submit and periodically update the documents in order to maintain a wholesale account with Nina Designs.

Reseller Permit or License -The first required document is issued by the state where your business is located. This permit is called different things in different states. For example, the California license is called a Seller’s Permit and is issued by the California Department of Tax and Fee Administration (CDTFA). In New York, the permit is called a Certificate of Authority issued by the Department of Taxation and Finance.  A Federal Employer Identification Number (FEIN or EIN) is NOT sufficient for setting up a wholesale account. We require the resale permit number issued by your State tax agency. If you live in a state that does not collect sales tax, like Alaska or Oregon, we will accept your city business license. For state specific information visit our Wholesale Requirements page. International customers are eligible to open a wholesale account when they conduct business within the jewelry trade. In the field that asks for the State Resale License, please enter your business license number issued by your local government, EU customers can enter their VAT number. 

Sales Tax Exemption Certificate -Sales tax exemption documentation is required to purchase from Nina Designs on a wholesale account regardless of the taxable status of the market you re-sell the products into. INTERNATIONAL CUSTOMERS:

International customers are eligible to open a wholesale account when they conduct business within the jewelry trade. In the field that asks for the State Resale License, please enter your business license number issued by your local government, EU customers can enter their VAT number. Before we can process your first order, we need a hard copy of your business license or other related documentation on file in our office. Why do I have to fill out a sales tax exemption form for a wholesale account?

The United States Supreme Court (SCOTUS) ruled in South Dakota v. Wayfair on June 21, 2018, that states can require sellers to collect and remit sales or use tax on sales delivered to locations within their state regardless of physical presence. This means that online sales are no longer exempt from local sales tax collection. If you do not have the necessary documentation to open a wholesale account with us, visit our Retail Suppliers page for links to companies who carry an extensive line of our products.

Due to this ruling Nina Designs is required by law to maintain signed and dated sales tax exemption certificates from all wholesale customers or alternatively collect sales tax for the purchase. As a result of this ruling Nina Designs transitioned into a wholesale only company. All wholesale customers are required to provide documentation that are exempt from paying local sales tax and are registered with their state to perform business within the jewelry trade.

How do I see Wholesale prices?

To see wholesale pricing you must create an account. Wholesale customers must provide a copy of their state sale tax seller's permit or license, fill out a sales tax exemption certificate for their state, and must meet a $50 order minimum per order. Retail accounts do not display product pricing and the shopping cart is disabled. If your account has been set up incorrectly, please contact us. 


 

What is the difference between Wholesale and Retail accounts?

Wholesale customers are in the business of selling jewelry. They have registered with their state as a wholesale business and have completed the required documentation to purchase materials at wholesale pricing without paying sales tax on them. The sales tax is paid later by a retail customer and passed to the appropriate State through the business that made the retail sale, which may or may not be the business that purchases from us.

Wholesale customers can backorder products that are currently out of stock. Backordered items must meet a minimum value to qualify. Read our backorder policy for detailed information.

Nina Designs discontinued Retail sales on December 19th, 2019. Although retail customers can view our website, pricing and shopping are not enabled. Click here for a list of our Retail Suppliers.

To quality as a wholesale customer, we must have a copy of your Resellers Permit and completed Sales Tax Exemption Documentation on file.

Why do you have a $50 order minimum? Can you waive this minimum?

Wholesale accounts are for customers that are in the trade of selling jewelry or jewelry supplies. Our wholesale prices are based on processing orders of $50 or more. If we were to accept orders under $50, we would have to raise our wholesale prices.

If you are a member of our Designers Circle, wholesale order minimums are waived.


 

How do I know if my account is Wholesale or Retail?

To see wholesale pricing you must create a wholesale account. 

When setting up your wholesale account, you must submit your state issued sales tax exemption documentation number and provide a hard copy of your sellers permit before your first order. You can verify the type of account you have by logging in and viewing your account "Address Book". In the default billing address column the "Price Code" will indicate WHL for Wholesale or RTL for retail. If your account has been set up incorrectly please contact us. 


 

Do you extend terms?

No, we do not extend terms (net 10, net 30, etc). Payment is by Visa, Mastercard and Paypal . We do not accept American Express.


 

I am an International customer and I do not have a resale license. How can I create a wholesale account?
